Terms & Conditions

The following Booking Terms, together with the general information contained on this website, form the basis of your contract for your stay at Glan Clwyd Isa. Please read them carefully as they set out our respective rights and obligations.

In these Booking Terms, “guest”, “you” and “your” means the person named on the booking confirmation and all other persons staying at the property during the rental period. “Us”, “our” and “Glan Clwyd Isa” relate to Mrs L A E & Mr J H Crossley and their management team. All reservations are made subject to these Booking Terms.

1. CONDITIONS OF HIRE

Once your booking has been confirmed, a binding contract is formed between you and Glan Clwyd Isa. The properties at Glan Clwyd Isa are provided as holiday accommodation.

2. MAKING A BOOKING

Bookings can be made online at www.GlanClwydIsa.co.uk or by contacting Glan Clwyd Isa directly.

Once we have received your booking request, we will, subject to availability, confirm your stay by email. Please check your booking confirmation carefully and contact us immediately if there are any errors or omissions.

A non-refundable deposit of 20% of the total booking value is required to secure your booking.

The remaining balance is due 8 weeks before your arrival date.

If a booking is made within 8 weeks of arrival, the full booking amount is payable at the time of booking.

3. NO SMOKING

All accommodation at Glan Clwyd Isa is strictly non-smoking.

4. GROUPS & BOOKING ORGANISER

Glan Clwyd Isa welcomes families, couples and groups, including guests staying for celebrations and special occasions.

The person responsible for making the booking must be aged 21 or over and is responsible for the conduct of all members of their party.

The nature of the group and purpose of the stay must be accurately represented when booking. We reserve the right to refuse or terminate a booking, without refund, where the accommodation is being used for a purpose materially different from that stated at the time of booking, where the number of guests exceeds the number booked, or where guest behaviour breaches these Booking Terms.

5. YOUR CONTRACT

These Booking Terms and any contract arising from them are governed by the laws of England and Wales. Any dispute arising from or connected with your booking will be subject to the jurisdiction of the courts of England and Wales.

6. CHANGES & CANCELLATION BY YOU

Once a booking has been confirmed, a legally binding contract exists between you and Glan Clwyd Isa.

If you wish to make a change to your confirmed booking, please contact us by email as soon as possible. We will endeavour to accommodate reasonable requests but cannot guarantee that changes will be possible.

If you cancel your booking more than 8 weeks before your arrival date, your 20% booking deposit will be retained and will not be refunded. The remaining balance will not be payable.

If you cancel your booking 8 weeks or less before your arrival date, the full balance will have become due and the full booking price will remain payable and non-refundable.

Bookings made within 8 weeks of arrival must be paid in full at the time of booking and are non-refundable if subsequently cancelled.

We strongly recommend that guests arrange suitable travel or holiday cancellation insurance to cover circumstances that may prevent them from travelling, including illness, adverse weather and other unexpected events.

7. CHANGES & CANCELLATIONS BY GLAN CLWYD ISA

Occasionally we may need to make changes to, or correct errors in, property descriptions or other information before or after a booking has been confirmed.

We will always endeavour to avoid making significant changes or cancelling confirmed bookings. If we have to make a significant change to or cancel your booking, we will notify you as soon as reasonably possible.

If Glan Clwyd Isa cancels your booking before arrival, we will refund all monies paid to us for the booking. Where reasonably possible, we will also endeavour to offer alternative accommodation or dates.

We cannot accept responsibility for additional expenses, costs or losses incurred as a result of a change or cancellation beyond the amounts paid directly to Glan Clwyd Isa, except where liability cannot legally be excluded.

Very rarely, circumstances outside our reasonable control may require us to change or terminate a stay after arrival. Please also see clause 15 regarding Force Majeure.

8. GUEST RESPONSIBILITY

Guests must take reasonable care of the accommodation, its furniture, fixtures, fittings, equipment and surrounding areas during their stay.

Any damage, breakage or problem with an appliance, fixture or fitting should be reported to us as soon as possible.

Guests must not attempt repairs to the property, appliances or equipment themselves. Where a repair is required, please contact us so that appropriate arrangements can be made.

The person making the booking is responsible for damage caused by members of their party and for excessive cleaning required as a result of their stay.

9. SECURITY DEPOSIT

All of our cottages require a security deposit in addition to the advertised rental price. The amount applicable to your booking will be stated on your booking summary.

A temporary pre-authorisation hold will be placed on the payment card used for your booking to cover potential damage, breakages or excessive cleaning. This is a card hold and not an immediate charge.

The hold will normally be initiated 3 days before your arrival and remain in place throughout your stay.

The hold will be released within 10 days of your departure, provided the accommodation has been left in an acceptable condition and there are no outstanding issues.

Where charges are necessary for loss, damage, breakages, excessive cleaning or other liabilities arising from the stay, the appropriate amount may be charged against the security deposit. We will provide details of any charges made.

If the cost exceeds the security deposit amount, the person responsible for the booking will remain liable for the additional reasonable costs.

If you have booked more than one cottage, please ensure that crockery, cutlery, utensils and other items moved between cottages during your stay are returned to the cottage they came from before departure.

10. KEYS, MAP & DIRECTIONS

Arrival information, directions and details regarding access to your accommodation will be provided before your stay. Additional information and maps may also be available through the Guest Login area.

11. LOST PROPERTY

If belongings are left behind and you ask us to return them, we reserve the right to charge a reasonable amount to cover postage, packaging and administration.

12. OCCUPANCY

Only the number of guests stated on the booking may stay in the accommodation unless otherwise agreed by Glan Clwyd Isa in advance.

The maximum occupancy of the booked accommodation must not be exceeded. A cot may only be occupied by a child aged 24 months or younger.

We reserve the right to refuse entry or terminate a stay if the permitted occupancy is exceeded without prior agreement.

13. PROBLEMS DURING YOUR STAY

Our priority is for guests to enjoy their stay at Glan Clwyd Isa. If you experience a problem, please contact us as soon as reasonably possible during your stay so that we have an opportunity to investigate and, where possible, resolve it.

Guests should take reasonable steps to minimise any problem and allow us reasonable access and time to investigate and rectify issues.

Where a complaint could reasonably have been brought to our attention during the stay, but was not reported until after departure, our ability to investigate and remedy the matter may be significantly limited.

14. LIABILITY

Nothing in these Booking Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by our negligence.

Subject to the above, Glan Clwyd Isa cannot accept responsibility for loss, damage, injury, expense or inconvenience resulting from circumstances outside our reasonable control or from the actions or omissions of guests or third parties not connected with the provision of the accommodation.

Guests are responsible for taking reasonable care for their own safety and the safety of members of their party.

Our properties are situated in a rural environment and may be affected by conditions associated with the countryside, including insects, pollen, agricultural activity, wildlife and seasonal environmental conditions.

Bats may occupy roof spaces and birds may nest around buildings and eaves. Protected wildlife will be treated in accordance with applicable law.

Children must be supervised at all times around open water, including the swimming pool, ponds, lake and river.

If a utility or service such as heating, electricity, water or broadband experiences a breakdown, we will endeavour to resolve the problem as quickly as reasonably possible and, where practicable, make alternative arrangements. Temporary loss of a service does not automatically entitle guests to a refund.

We cannot guarantee that complimentary or leisure facilities, including the swimming pool or hot tubs, will remain available throughout every stay. Facilities may occasionally need to be closed for maintenance, repair, servicing, safety reasons or circumstances outside our reasonable control.

15. FORCE MAJEURE

We cannot accept liability or pay compensation where we are prevented from performing our contractual obligations as a result of circumstances outside our reasonable control which we could not, even with due care, reasonably have foreseen or avoided.

Such circumstances may include, but are not limited to, severe weather, fire, flooding, natural disaster, war or threat of war, civil disturbance, terrorism, industrial disputes, interruption of essential services, government action or other comparable events outside our reasonable control.

17. PRICES & WEBSITE ACCURACY

We make reasonable efforts to ensure that property descriptions, availability and prices displayed on our website are accurate. However, errors may occasionally occur and information may change.

Please check the details contained in your booking confirmation, including accommodation, dates, number of guests and price, and notify us promptly if anything appears incorrect.

The price confirmed as part of your accepted booking will form the basis of your booking, subject to the correction of any obvious error that could reasonably have been recognised as such.

18. BEHAVIOUR

Guests must show reasonable consideration for other guests, neighbours, our staff, the property and the surrounding countryside.

If, in our reasonable opinion, a guest behaves in a way that causes or is likely to cause danger, serious disturbance, distress, unreasonable nuisance or damage to property, we reserve the right to require the person concerned, or where appropriate the whole party, to leave the accommodation.

Where a stay is terminated because of serious guest misconduct or a material breach of these Booking Terms, no refund will be payable for the unused portion of the stay and we will not be responsible for additional costs incurred by the guest as a result.

19. SPECIAL REQUESTS & ACCESSIBILITY

If you have a special request, please let us know before booking or as early as possible afterwards. We will endeavour to accommodate reasonable requests but cannot guarantee that every request can be met.

If you or a member of your party has accessibility requirements that may affect the suitability of a particular cottage or facility, please contact us before booking so that we can provide relevant information about the accommodation.

20. MANAGEMENT ACCESS

Guests must allow Glan Clwyd Isa management, housekeeping staff and appropriately appointed tradespeople reasonable access to the accommodation where necessary for inspection, maintenance, repairs, emergencies or other legitimate operational purposes.

Except in an emergency, we will endeavour to provide reasonable notice and arrange access at a convenient time wherever practicable.

21. BABY EQUIPMENT

Where travel cots, high chairs or other baby equipment are made available, they are provided for guests’ convenience.

Parents and guardians remain responsible for checking that any equipment is suitable for their child and for its safe and appropriate use.

22. DOGS

Dogs are permitted where agreed as part of the booking and any applicable pet charge has been paid.

Dogs must be kept under proper control and supervision at all times. They must not be allowed on beds or furniture and must not be left unattended in the accommodation.

Dogs must be kept on a lead around the estate where required, particularly around livestock, other guests and communal areas.

Owners are responsible for cleaning up after their dogs and for any damage or additional cleaning caused by them.

We cannot accept responsibility for the safety of guests’ pets while staying at Glan Clwyd Isa.

23. SWIMMING POOL & HOT TUBS

23.1 Swimming Pool

The outdoor swimming pool is for the use of guests staying at Glan Clwyd Isa. There is no lifeguard and guests are responsible for supervising members of their party.

Children must be supervised by a responsible adult at all times in and around the swimming pool.

The pool gate must be kept closed after entering or leaving the pool area. Guests must not enter the pool area when it has been closed or locked for maintenance, servicing, water treatment, safety reasons or any other operational reason.

The outdoor heated swimming pool is normally available seasonally from approximately June to September. Opening dates and water temperature may be affected by weather and other operating conditions.

Although we heat the pool, it is an outdoor pool and a particular water temperature cannot be guaranteed.

The pool may occasionally need to be temporarily closed for maintenance, cleaning, water treatment, safety reasons or breakdown. Temporary unavailability of the pool does not automatically entitle guests to a refund.

Guests must comply with all pool safety rules and signage displayed at the property.

23.2 Hot Tubs

Private hot tubs are provided at Cae Caled and The Big Barn and are for the use of guests staying in those cottages and members of their booked party.

The Cae Caled hot tub accommodates up to 2 people and The Big Barn hot tub accommodates up to 12 people.

Children under 14 must be supervised by a responsible adult at all times. Children under the age of 4 must not use the hot tubs.

Guests must follow the hot-tub safety information provided and any instructions displayed at the property.

Hot-tub covers must be replaced after use. Where removable steps are provided, these should be moved away from the hot tub when it is not being used to reduce the risk of unsupervised access by children.

Hot tubs are routinely monitored and water quality is tested during guest stays. We may require access to the hot-tub area for testing, treatment, maintenance or servicing.

A hot tub may occasionally need to be temporarily closed for maintenance, water treatment, servicing, safety reasons or breakdown. Temporary unavailability of a hot tub does not automatically entitle guests to a refund.

24. WI-FI ACCESS TERMS

24.1 Availability of the Service

Wi-Fi is provided for the convenience of guests. We do not guarantee uninterrupted availability, a particular connection speed or compatibility with every device or service.

Guests use the internet connection at their own risk and are responsible for protecting their devices, information and data.

We reserve the right to suspend or restrict the Wi-Fi service where reasonably necessary for security, maintenance, network management or suspected misuse.

24.2 Acceptable Use

Guests must not use the Wi-Fi service for unlawful purposes or in a manner that infringes the rights of others, compromises network security, causes unreasonable disruption or exposes Glan Clwyd Isa or other users to legal or security risks.

Guests are responsible for ensuring that their use of online material complies with applicable copyright and other intellectual property laws.

24.3 Illegal Activity

The Wi-Fi service must not be used to engage in criminal or unlawful activity.

Where required by law, we may cooperate with law enforcement agencies or other competent authorities and provide information that we are legally required or permitted to disclose.

24.4 Personal Information

Any personal information collected in connection with your booking or use of our services will be handled in accordance with our Privacy & Cookies Policy and applicable data-protection law.

25. GENERAL

If any provision of these Booking Terms is found to be invalid or unenforceable, the remaining provisions will continue to apply.

No failure or delay by Glan Clwyd Isa in exercising a right under these Booking Terms will prevent us from exercising that right later.

These Booking Terms, together with your booking confirmation and any other terms expressly incorporated into your booking, form the agreement between you and Glan Clwyd Isa in relation to your accommodation booking.
